Roles & Team Access
What roles does FieldPass support?
FieldPass has three user roles, each with different permissions:

What can an Athlete do?
Athletes can:
- Create deals (up to the Free plan limit)
- Upload supporting documents to their own deals
- Generate packets for their own deals
- Download their own packets
- Record submission outcomes for their own deals
- Browse the FieldPass Match campaign feed and view campaign details
- Apply to campaigns and exchange messages in threads they are a participant in
- Convert a Match thread to a FieldPass Clear deal
Athletes cannot access other users' deals or packets.
What can an Agent do?
Agents have the same permissions as Athletes. An agent creates deals using their own account and enters the athlete's information in the deal details. The athlete's legal name and contact information are captured in the deal record, but the agent's account is the deal owner.
In FieldPass Match, agents can browse campaigns, apply on behalf of athletes, and manage threads — the same as the Athlete role.
Note: Even if an agent enters the deal details, the final NIL Go submission must be performed by the athlete using their own NIL Go account. NIL Go does not allow representatives to submit on an athlete's behalf.
What can an ORG_ADMIN do?
ORG_ADMIN users have elevated access:
- View, generate, and download packets for any deal in the system
- Access the admin metrics dashboard (deal counts, packet counts, submission outcomes, rejection trends)
- No deal, upload, or packet limits
- In FieldPass Match: view ranked athlete results for any campaign, filter by division/deal type/distance, invite athletes to campaigns, and access all message threads
ORG_ADMIN is the appropriate role for compliance staff at athletic departments or collective administrators who need oversight across multiple athletes.
How are roles assigned?
During the pilot, roles are assigned manually in the system by the FieldPass team. Contact FieldPass to request an ORG_ADMIN role for your compliance staff.
Can I share a deal or packet with my compliance officer?
Compliance officers need an ORG_ADMIN account to access deals in FieldPass directly. There is no link-based or invite-based sharing in the current MVP.
Alternatively, you can download the packet PDF and share it directly — the packet is a self-contained, verifiable document.
Can an agent manage multiple athletes?
Yes. An agent can create deals for multiple athletes from a single account, with each athlete's information captured in the respective deal records. All of those deals count against the agent's Free plan limit (3 deals total). Agents managing large rosters should upgrade to Pro for unlimited deals.
What is the difference between Athlete and Agent in practice?
Functionally, the two roles have identical permissions. The distinction exists for organizational clarity and future features (e.g., agency workspaces where an agent can invite athletes and collaborate). In the current MVP, choose Agent if you are a representative entering deals on behalf of athletes.
